Which documents should support pergola payment milestones?

Write payment conditions separately

A payment milestone should identify the event, required documents and person who confirms completion. Before production or before shipment can still be ambiguous: have drawings been approved, and has the agreed inspection occurred? ICC explains that trade rules do not determine the specific time or method of payment or the transfer of ownership.

Do not infer a payment arrangement from a trade abbreviation. Set out payment conditions, technical acceptance and transport responsibilities separately, then identify their dependencies. This gives finance a usable instruction and allows project staff to explain exactly which condition remains outstanding.

Connect documents to the actual order

Useful supporting records carry the order reference, configuration and revision. A drawing approval identifies the accepted design; an inspection record states what was checked and found; a packing list describes how goods are organized. Each document serves a purpose, but none independently proves that the entire pergola meets every requirement.

A photograph of a complete structure does not replace dimensional checks or establish that it depicts the shipment being purchased. Review identity and scope before conclusions. Specific questions about dates, part references and open items in photographs, videos or reports are more useful than requesting a general assurance that everything is satisfactory.

Agree on the exception process beforehand

Suppose a remote inspection finds a decorative cover that differs from the approved colour sample, while other checks are acceptable. Without an agreed method for classifying issues, documenting correction and reviewing it again, finance may not know what it is waiting for. Record the issue, owner, remedy and condition for reapproval instead of treating a new photograph as automatic closure.

This does not mean a particular payment percentage suits every purchase or guarantees funds or performance. Order size, trading history, payment instruments and the contract affect the arrangement. Commercial and finance owners should approve an executable process and record its evidence requirements in the order.

Use a milestone table to reduce ambiguity

A milestone table can be brief: event, required documents, reviewer, open items and confirmation date. Give the same version to the supplier, purchasing and finance. Treat receipt of documents and approval of those documents as separate states; an uploaded attachment should not automatically release the next step.

If payment details or the contracting entity change, verify the change through an established contact channel. Update the record and follow the company's process rather than treating a message in a chat window as an automatic continuation of the existing agreement.

  • State each milestone's event and what its documents establish.
  • Check order, configuration, revision and open items.
  • Record exception handling, reviewers and final approval dates.

Does a factory inspection video count as acceptance?

A video helps assess only the checks it actually documents and connects to the order, configuration and agreed acceptance record. Unshown dimensions, materials or performance cannot be assumed acceptable. The designated reviewer must confirm acceptance under the order; receiving a video alone does not prove full conformity or completion of payment conditions.
